Emailing a User from the Client

You can send emails to Aeon users from within the Aeon Desktop Client or Aeon Web Client. User-related emails are sent from the user's record on the User Information form in the Aeon Desktop Client or from the User Information page in the Aeon Web Client. Email templates are created in the Aeon Customization Manager and accessed by the client when emailing the user. You send emails and check email status in either client, and resend emails from within the Aeon Desktop Client. All email processes are handled by the Aeon System Manager. In the Aeon Desktop Client, you can also send status-specific emails about a request from the Requests tab on the User Information form.

Using Templates

When sending a user an email from the Aeon Desktop Client or Aeon Web Client, you can opt to use a pre-defined user email template to automatically populate the content of the email. Email templates are created and managed in the Aeon Customization Manager. There are several default user email templates available, which can be customized in the Customization Manager if needed. You can also create additional user email templates in the Customization Manager as needed. Use the tabs below to learn how to email a user using an email template in the Aeon Desktop Client and Aeon Web Client

Desktop Client Web Client

To email a user using an email template from within the Aeon Desktop Client:

  1. Open the User Information form for the user in the Aeon Desktop Client.
  2. Click on the Email ribbon located at the top of the User Information form next to the Home ribbon.
  3. Click on the bottom half of the New E-mail button to expand the email template dropdown menu. Both the default user email templates and any additional user email templates you have created in the Aeon Customization Manager will be displayed in the dropdown menu.
  4. Click on a template from the list to automatically open the template and populate it with the user's information.
  5. Make any modifications to the text populated by the template as necessary then click Send Email when you are ready to send the email.
  6. To cancel the email without sending it, click the Cancel Email button.

Note: The MergeUser template and merge user functionality are only available in the Aeon Desktop Client.

Using a Blank Email

When sending a user an email from the Aeon Desktop Client or Aeon Web Client, you can also opt to create the content for the email manually using a blank template rather than using one of the pre-defined user email templates. Use the tabs below to learn how to email a user without using an email template in each client. 

Desktop Client Web Client

To email a user without using an email template from within the Aeon Desktop Client:

  1. Open the User Information form for the user in the Aeon Desktop Client.
  2. Click on the Email ribbon located at the top of the User Information form next to the Home ribbon.
  3. Click on the top half of the New E-mail button to open a blank email template addressed to the user.
  4. Fill in the subject and body of the email with the text you want to send. 
  5. Optionally add CC and BCC information to the email if necessary.
  6. Click Send Email when you are ready to send the email.
  7. To cancel the email without sending it, click the Cancel Email button.
