All new users default to a status of Not Cleared after registering or being created in the Aeon Desktop Client or Aeon Web Client. Staff can decide when to clear users as being uncleared does not prevent users from submitting requests or using the Aeon web interface.

User Clearance Notifications
Use the tabs below to learn about user clearance notifications in the Aeon Desktop Client and Aeon Web Client.
A popup notification window displays in the Aeon Desktop Client when users need to be cleared. This includes newly created users and existing users who have been changed from a status of Cleared to Not Cleared, e.g., when the user expiration date is reached. The detailed list of users awaiting clearance can be viewed in the Users Waiting to Be Cleared group of the Home page or by double-clicking the Waiting to be Cleared header in the Users Waiting to be Cleared group to access the Users Waiting to be Cleared form (shown below).
In the Aeon Web Client, you can view the number of users who need to be cleared in the toolbar at the top of the screen. This number includes newly created users and existing users who have been changed from a status of Cleared to Not Cleared, e.g., when the user expiration date is reached.
Clearing Users
The steps required to clear a user vary depending on where you choose to clear the user. There are three places within the Aeon Desktop Client where you can change a user's status to cleared:
- The Users Waiting to be Cleared group on the Home page
- The Users Waiting to be Cleared form
- The User Information form
In the Aeon Web Client, users are cleared individually from the user's record on the User Information page. When clearing a user in either client, you will have the option to clear the user without sending that user a notification email or the option to clear the user and send the user an email notification using the ClearUser email template. Use the tabs below to learn how to clear users in the Aeon Desktop Client and Aeon Web Client.
In the Aeon Desktop Client, you can clear a user from the Users Waiting to be Cleared group, Users Waiting to be Cleared form, or the User Information form.

Clearing Users from the Users Waiting to be Cleared Group
To quickly clear an individual user from the Users Waiting to be Cleared group on the desktop client Home page:
- Right-click on the user in the Users Waiting to be Cleared group.
- Click the Clear User pop-up button to clear the user without sending an email notification, or click the Clear User and Email option to clear the user and send a notification using the ClearUser email template.
- The user is automatically cleared and removed from the grid.
Clearing Users from the Users Waiting to be Cleared Form
To clear individual users quickly from the Users Waiting to be Cleared form:
- Double-click the Waiting to be Cleared header in the Users Waiting to be Cleared group on the Home page to access the Users Waiting to be Cleared form.
- Click the user that you wish to clear in the Users To Be Cleared grid.
- Click the top half of the Clear User button in the Process ribbon to clear the user without sending an email notification, or click the bottom half of the Clear User button and select the Clear User and Email option to clear the user and send a notification using the ClearUser email template.
- The user is now cleared and is removed from the grid.
When clearing users on the Users Waiting to be Cleared form, you must select and clear each user individually. You cannot select multiple users in the grid.
Clearing a User from the User Information Form
You can clear newly created users from the User Information form immediately after creating the user in the Aeon Desktop Client. The User Information form can also be used to clear existing users who have registered using the Aeon web interface:
- Double-click the user you want to clear in the Users Waiting to be Cleared group to access the User Information form.
- Click the Process tab to view the Clearing Options group on the ribbon.
- Click the top half of the Clear User button to clear the user without sending an email notification, or click the bottom half of the Clear User button and select the Clear User and Email option to clear the user and send a notification using the ClearUser email template.
- The user's Clearance Status changes from Not Cleared to Cleared and the ribbon changes to the Home ribbon.
In the Aeon Web Client, you can clear a user from the user's record on the User Information page.
Clearing a User on the User Information Page
To clear a user from the User Information page:

Navigate to the User Information page for the user you want to clear.
You can easily navigate to this page by performing a search for the user and double-clicking on the user's record in the User Search Results grid. -
Click the Action menu icon () in the toolbar at the top of the screen to expand the menu:

Click Clear User from the Action menu to clear the user without sending an email notification, or click the Clear User With Email option to clear the user and send a notification using the ClearUser email template:

If the Clear User With Email option was selected, the Send Email window will appear displaying the ClearUser email template. Make modifications to the email if necessary, then click Send Email:

The User Cleared notification displays and the user's Cleared status changes to Cleared:
