OCLC has developed Article Exchange as a service for OCLC lending libraries to post electronic documents and expedite their delivery to other libraries. For more information about Article Exchange, visit the OCLC website. Within ILLiad, you can send and receive articles using Article Exchange. ILLiad will communicate with the Article Exchange service to route requests to the correct queues and update the OCLC status automatically.
To utilize Article Exchange features, you will need to obtain a WSKey and secret from OCLC. You will also need to make some additional configurations in the ILLiad Customization Manager. See Configuring Article Exchange Integration and Requesting a WSKey from OCLC for more information.
You are able to send both OCLC requests and other types of requests (Rapid, Docline, etc.) through Article Exchange. Article Exchange will allow you to import PDF, TIFF, and JPG files. By default, the file will be sent as a PDF to the receiving library. You also have the option of sending it through Article Exchange as a TIFF. If the receiving library uses ILLiad and processes the article through Electronic Delivery, the file will be converted to a PDF before being delivered to the end user.
Sending OCLC Requests
When an OCLC article request is sent to the borrowing library through Article Exchange, ILLiad will automatically recognize this and will update the OCLC record and route the request to Request Finished.
- Process the article request through the normal steps in ILLiad (Awaiting Stacks Searching, In Stacks Searching, etc.)
- Click Update Stacks Search Results on the Lending ribbon.
- Search for and find the request, and scan or import the correct document.
- Click Send via Article Exchange, and select the format to send it in. The default is PDF. This button will appear if Article Exchange is enabled.
- The article will automatically be sent to the borrowing library, the status in ILLiad will be changed to Request Finished, and the OCLC status will be updated to SHIPPED.
The Article Exchange URL and Password will also be placed in the Alert field in the OCLC record as well as the ILLiad notes field.
Sending Non-OCLC Requests
For non-OCLC requests, there is the option to send Article Exchange notification emails to borrowing libraries for requests made through systems such as Rapid, Docline, and ISO. Like other Article Exchange features, this must be configured in the ILLiad Customization Manager.
- Process the article request through the normal steps in ILLiad (Awaiting Stacks Searching, In Stacks Searching, etc.)
- Click Update Stacks Search Results on the Lending ribbon.
- Click Mark Found Scan Now to open the Scanning form.
- Search for and find the request, and scan or import the correct document.
- Click Send via Article Exchange. This button will appear if Article Exchange is enabled.
- To send as a TIFF file instead of a PDF (default), click the arrow under Send via Article Exchange and select TIFF, then click the button to send.
- An email will be automatically sent to the borrowing library with information on how to access this article
- The status in ILLiad will be changed to Request Finished and the Article Exchange URL and Password will be added to the ILLiad notes.
