Searching & Sending Requests: Viewing Holdings Information

Once you have selected a record to be requested, go to the Holdings tab under the OCLC Open Tab on the Request Form. From here, you have several options for determining which institutions might be able to provide the item. Which option you choose will depend on the item being requested, how many different Custom Holdings options you have set up, and your ILL requesting policies and/or preferences.

 

Default Custom Holdings Selecting the Default Custom Holdings option from the menu will display the custom holdings results
for the specified default holdings path.
Custom Holdings The Custom Holdings option allows you to specify a different Custom Holdings Path from the default.
Profile Groups The Profile Group option allows you to specify a particular profile group or GAC (Group Access Capability)
from which potential lenders should display.
Default The Default option allows you to display OCLC's default Holdings information.
Regional The Regional option allows you to display Holdings information for your region. This should include holdings information from your institution's state and all adjacent states.
State The State option allows you to display Holdings information for your institution's state.
All The All option allows you to display all Holdings information returned by OCLC regardless of geographic location.
The Default Custom Holdings option uses the OCLCILLArticleHoldingsPath and OCLCILLLoanHoldingsPath keys to determine which Holdings Path should be used. These keys are found in System | OCLC in the ILLiad Customization Manager. This determination is made by the system based on the OCLC format type for the selected OCLC record. For Loan requests, it will automatically generate a suggested lender string that is randomly selected from the displayed holdings information. This lender string is only a suggestion and can be easily changed or replaced. Custom Holdings Paths and Groups may be set up in the ILLiad Client from the Resource Sharing Settings button on the System Ribbon of the Main page.
Profile groups allow you to specify a particular profile group or GAC (Group Access Capability) from which potential lenders should display. For example, if you wanted all of the displayed potential lenders to belong to the ILLiad(OCLC Training and ILLiad Participants) or to LVIS (Libraries Very Interested In Sharing) groups, the Profile Group option gives you this ability. The submenu to the right of the Profile Group menu option will display the last five profile groups accessed this way. You may select them again from the menu, or search for profile groups that have not recently been accessed by choosing Select Profile Group. Choosing Select Profile Group will display the GAC form, where you can select the profile group from the list. Double-clicking the profile group will select it and display holdings information from the chosen group for the selected transaction. The information displayed on the GAC form is stored locally in the GAC table of your ILLiad database. This information may be edited in the Customization Manager under System | OCLC | GAC.

The Holdings Display

  • Hovering your mouse over any symbol will display the institution name for the symbol, the days to respond, and any fee information. The institution name will also display in the status bar at the bottom of the Request Form.

  • Right-clicking on any symbol in the holdings display will display the option to view the OCLC Policies Directory for that symbol. Selecting that option will open a web browser, log on to the OCLC Policies Directory, and perform a search for the specified symbol.
Loans

Once holdings information is generated from OCLC, the left side of the Holdings Tab displays the returned holdings information grouped either by Custom Holdings Group or by State depending on the holdings menu option selected. Within these groups, symbols are organized alphabetically by OCLC symbol. An information bar at the top of the holdings display informs you of the number of holdings that were found and the type of holdings displayed. Holdings groups may be compressed by clicking on the minussymbol to the left of each group. A compressed group may later be re-enlarged by clicking on the plussymbol the left of a compressed group.

Articles

Local Holdings for Articles display in a different format than the other Holdings displays so that specific volume, issue, and date information can be displayed for each lender symbol if the information exists in OCLC's database. The number of holdings found displays on the status bar at the bottom of the page.
