Sorting and Filtering Print Documents

ILLiad can be configured to sort, display, and print documents in almost any order you wish. You can also set up ILLiad to filter the various documents and keep certain transactions from printing. These changes can be made on the print dialog box when printing, or by clicking on the ILLiad icon and selecting Print Setup.

In order to save print sort and filter settings, the ILLiad Client user must have write permissions to the folder indicated in the PrintDocumentsPath customization key.

Sorting Documents

The Print Configurations form includes a Sort Columns field that allows you to specify a sort order for your documents based on values from the PrintQueue worksheet in the document's .xlsx file. This field uses the format <TableName>_<ColumnName>.

  1. On the ILLiad home screen, click the ILLiad icon.
  2. Select Printer Setup. The Print Configurations form will open.
  3. Find the document you want to create a sort order for, and click on the corresponding field under the Sort Columns header.
  4. Add a sort order, and click Save.

Filtering Documents

The Print Configurations form includes a Filter field that allows you to specify which documents print based on values from the PrintQueue in the document's .xlsx file. This field uses the format <TableName>_<ColumnName>.

  1. On the ILLiad home screen, click the ILLiad icon.
  2. Select Printer Setup. The Print Configurations form will open.
  3. Find the document you want to create a filter for, and click on the corresponding field under the Filter header.
  4. Add a filter, and click Save.

The Sort Column and Filter String example values are shown above assume you are using the ILLiad 8.1 or higher Word document templates and match the values as they are listed in the PrintQueue worksheet of the document's .xls file. Remember that if you are still using the older templates you will have to use the values in the LegacyQueue worksheet.

Sorting and Filtering Examples

  1. Print Lending or Doc Del slips in location and call number order.
    In the Sort Columns field, enter Transactions_Location, Transactions_CallNumber. This will sort first by Location, then by Call Number.
  2. Filter Doc Del requests that will be sent out through campus delivery.
    In the Filter field, enter Transactions_ShippingOptions = 'Campus Delivery'. This assumes the Shipping Option field for the request is "Campus Delivery."
