The integration of ILLiad and Aeon via two new web services makes it possible for ILLiad staff to place Aeon requests directly from the ILLiad client and for Aeon staff to respond to the requests directly from the Aeon client. With the ILLiad/Aeon Web Platform configuration, you are able to send requests directly to Aeon for review by Special Collections staff. This can be done in both the Lending and Document Delivery modules in the ILLiad client.
In order to use this feature, you must configure some settings in both the ILLiad and Aeon Customization Managers. See Configuring Web Platform Integration for ILLiad and Aeon for more information.
Submitting a Request to Aeon
- Open the request in Lending or Document Delivery that you want to send to Aeon.
- Click on the Aeon Tab at the top of the request form.
- Click Request from Aeon, then choose Loan or Photoduplication.
This tells the system how to create the request in Aeon. You are able to create an Aeon photoduplication request from an ILLiad loan request. - The status of the request will change to Awaiting Aeon Request Sending.
This is a temporary status. The request will stay in this status until it is successfully transferred to Aeon. This process can take a few minutes. - The status of the request will change to Aeon Request Sent when it has successfully been created in Aeon.
If you are not able to see the Aeon Tab in your ILLiad request form or if requests are not transferring from ILLiad to Aeon correctly, check your configuration options by reviewing Configuring Web Platform Integration for ILLiad and Aeon.
Receiving a Response from Aeon
Aeon staff have the option to cancel or approve the request. If approved, there are three possible responses: Available for Pickup, Available for Copy, or Copy Ready.
Aeon Request Denied
- If the request is denied by Aeon staff, the request will move to the status of Aeon Request Denied.
- The cancellation reason will display in the "Reason for Cancellation" field and you will see the Denied response in the External Request fields.
- You can now Cancel or Conditionalize the request like other ILLiad requests.
- You also have the option to send the request to Aeon again. For example, if the original Aeon request was for a loan but Special Collections will only allow a photocopy of the item, follow the steps for requesting an item in Aeon again, this time choosing Photoduplication instead of Loan.
Aeon Request Approved
If a request is approved by Aeon staff, the request will move to the status of Aeon Request Approved and display a specific response.
Available for Pickup
This status applies to Loan requests.
- If the request is approved by Aeon staff, the request will move to the status of Aeon Request Approved.
- For loan requests that the Aeon staff have approved to be shipped to the borrowing library, the response in the External Request will say AvailableForPickup.
- Coordinate with Special Collections to determine how the loan will get from Special Collections to the ILL office.
Available for Copy
This status applies to Loan requests.
- If the request is approved by Aeon staff, the request will move to the status of Aeon Request Approved.
- For loan requests that the Aeon staff have not approved to be shipped, but have approved to copy, the response in the External Request will say AvailableForCopy.
- Coordinate with Special Collections to determine how the copy will be made.
Copy Ready
This status applies to Article requests.
- If the request is approved and copied by Aeon staff, the request will move to the status of Aeon Request Approved.
- In addition, the response in the External Request will say AvailableForCopy.
- Coordinate with Special Collections to determine how to retrieve the copy.
Viewing Responses
In order to view these responses in ILLiad, you must add the Aeon Requests category to your ILLiad form.
- Somewhere on the Request Form, right-click.
- Select Customize Layout from the list shown. A Customization box will open.
- Find the category Aeon Requests and drag it from the list to a place on your request form.
- Make sure it is expanded enough to display the Response category.
