Deleting an Item from Ares removes the Item record from the database along with all related history, including tracking, emails, notes, tags, hotlist entries, print details, and copyright information. If the Item is for an electronic file, that file is also deleted from the server. During the deletion process, Ares will attempt to cancel any outstanding orders for the Item through the Copyright Clearance Center.
Deleting a reserve Item is an irreversible action and cannot be undone.
Deleting an Item from the Item Form
- On the Item form, click Delete.
- A popup warning will ask you to confirm that you want to delete the Item. Click Yes to delete the item. Click No to return to the Item form.
For an electronic item to be removed from the server, the DocumentType must be HardCopy, WebLink or Create, and the Location field must not be empty.
Deleting Items from a Grid
- From a grid in the Ares client (such as a process queue list), select the one or more Item(s) you want to delete.
- Click Delete on the ribbon.
- A dialog box will appear and ask you to confirm. To continue deleting, click Yes.
- The Item(s) will be deleted.
Deleting Items Submitted Thru Copyright Clearance Center
Certain conditions apply when attempting to cancel Items submitted through the Copyright Clearance Center (CCC).
Copyright Privileges Granted
If CCC privileges have been granted (ItemCopyright.RightStatus = Granted) and you attempt to delete an Item, a dialog box will warn you that copyright privileges have been granted and ask if you want to delete the item. Click Yes to delete the item. Clicking Yes removes all references to the Item in the database, cancels the CCC order for the Item, and closes the Item form. Note that no obvious communication occurs with the CCC when deleting the Item. If the CCC returns an error indicating that the order cannot be cancelled due to internal billing policies, etc, the Item will not be deleted from Ares.
Copyright Privileges Pending
If a special order for the Item has been submitted through the CCC and the rights status is still pending (ItemCopyrightStatus = Pending) the CCC will not allow the cancellation. Because the Item cannot be cancelled, it cannot be deleted from Ares.
