Cloning Requests

Requests in Aeon can be quickly cloned into new requests using the Aeon Desktop Client. This is most helpful when a user has submitted one request but it is for multiple pieces that must be retrieved. The cloning feature can be used to create a request for the same material for the same user or for a different user. You can clone requests from the Request list or Search list using the Clone options on the Process ribbon, or via the Clone Request options on the Request form. 

Newly cloned requests are placed in the Awaiting Request Processing queue to begin the workflow process. Along with the original citation information, the initial Tracking and History entries are recorded in the Request form of the new request. The Links entry displays the cloning history of the original and cloned requests.  Note that History and Notes from the original request are not transferred to the new request. In addition to request cloning, Activities and the item request in those Activities can be cloned into new Activities.

Note that when cloning requests with a photoduplication workflow, the photoduplication status information is not copied to the new request.

Cloning a Request from a List

Clone to Current User

To clone a request to the current user from a Request list or Search results:

  1. Select the request(s) from a Request list or search results.
  2. Click Clone to Current User in the Process ribbon.

    If multiple requests have been selected for more than one user, each request will be cloned to its respective user. 
  3. The new cloned request(s) are created. Each cloned request has a new transaction number and a status of Awaiting Request Processing.

Clone to Another User

To clone a request to another user from a Request list or search results:

  1. Select the request(s) from a Request list or search results.
  2. Click Clone to Another User in the Process ribbon.
  3. The cloning search form opens.
  4. Search for the user by entering the username, last name, or first name in the Search box and clicking the Search icon.
  5. Select the user from the grid of search results by double-clicking to enter the username in the Username field.
  6. Click Clone to clone the request(s).
  7. The new cloned request(s) are created. Each request has a new transaction number and a status of Awaiting Request Processing.

  1. Select and open the request from a Request list or search results.
  2. Click Clone Request to Current User in the Home ribbon.
  3. The new request automatically displays. The request has a new transaction number and a status of Awaiting Request Processing.

Clone Request to Another User

To clone a request to another user from the Request Form:

  1. Select and open the request from a Request list or search results.
  2. Click Clone Request to Another User in the Home ribbon.
  3. The cloning form opens.
  4. Search for the user by entering the username, last name or first name in the Search box and clicking the Search icon.
  5. Select the user from the grid of search results by double-clicking to enter the username in the Username field.
  6. Click Clone to clone the request.
  7. The new request automatically displays. The request has a new transaction number and a status of Awaiting Request Processing.

Cloning Requests at Item Checked Out

When cloning requests to another user, staff can clone requests that are at the Item Checked Out state (and any custom queues based on that state) and change the original request's status to Request Finished. You can clone and finish requests from both the Request and Search lists and the Request form. The following example clones the request from the Request form.

  1. Choose the request from a request status or search list or open the Request form for the request.
  2. On the Home/Process ribbon, click Clone Request to Another User.
  3. The cloning search form opens.
  4. Search for the user by entering the username, last name or first name in the Search box and clicking the Search icon.
  5. Select the user from the grid of search results by double-clicking to enter the username in the Username field.
  6. Click Clone and Finish to clone the request and send the original request to Request Finished. Click Clone to clone the request and leave the original request at the Item Checked Out state.
  7. The new request automatically displays. The request has a new transaction number and a status of Awaiting Request Processing. The original request moves to a status of Request Finished.
