Cloning Reserve Items

Ares allows you to make copies of existing items and place the cloned item in a different course. Items can be cloned from the Item form, Course form or the Items lists in status queues or search results. All fields from the Item form are duplicated on the cloned item. Exceptions to this are the Copyright Obtained checkbox and the Active and Inactive Date. The Active and Inactive Date is set to match the course's start and stop dates, and the Copyright Obtained checkbox defaults to No. Along with copying original citation information, the cloning process is recorded in the History tab. The History entry indicates the item from which the new item was cloned. The Tracking entry shows the item was submitted via cloning and routed to the appropriate status. Note that History and Notes from the original item are not transferred to the new item. Newly cloned hardcopy requests are placed in the Awaiting Request Processing queue to begin the workflow process. Digital items are moved to Item Available on Electronic Reserves or Item Activation Pending. If the cloned item is a digital item, the electronic file is placed on the Ares server and linked to the item.

You can set Ares to clone the Notes to a new item using the CloneItemNotes key in the System | Cloning section of the Ares Customization Manager. 

Cloning an Item from the Item Form

As of Ares v5.0,  support has been added allowing users to clone items to multiple courses at the same time.

To clone an item to a different course from the Item form:

  1. Select and open the item form from an item list or search results.
  2. Click Clone on the Home ribbon.
  3. A popup cloning form displays. Enter the Course ID(s) in the Course ID field and click OK.
    • If you do not know the Course ID, use the Search field to find it.
    • To select multiple items, highlight the first item, then hold control and click each applicable item.
  4. Double-click on the course in the grid of search results to enter the Course ID in the Course ID field and click OK.
  5. The newly cloned item displays on a new Item form.

Cloning an Item from the Course Form

To clone an item to a different course from the Course form:

  1. Select and open the Course form from search results.
  2. Navigate to the Course Items tab.
  3. A popup cloning form displays. Enter the Course ID in the Course ID field and click OK.
    • If you do not know the Course ID, use the Search field to find it.
  4. Select the item(s) you want to clone and click the Clone button on the Course Items ribbon.
    1. To select multiple items, highlight the first item, then hold control and click each applicable item.
  5. Double-click on the course in the grid of search results to enter the Course ID in the Course ID field and click OK.
  6. A confirmation message informs you that the item(s) have been successfully cloned.

Cloning an Item from an Item or Search List

To clone an item to a different course from a status queue or search results:

  1. Open the appropriate queue or conduct a search for the item.
  2. From the queue list or search results list, select the item(s) you want to clone and click the Clone button.
  3. A popup cloning form displays. Enter the Course ID in the Course ID field and click OK.
    • If you do not know the Course ID, use the Search field to find it.
  4. Select the item(s) you want to clone and click the Clone button on the Course Items ribbon.
    1. To select multiple items, highlight the first item, then hold control and click each applicable item.
  5. Double-click on the course in the grid of search results to enter the Course ID in the Course ID field and click OK.
  6. A confirmation message informs you that the item(s) have been successfully cloned.

Using the Search Field to Locate Course ID

If you do not know the Course ID number, you can search for the course using the Search field located on the cloning form. Hover over the Search field to see a list of available search criteria: Course ID, Name, Course Number, Instructor, Course Code.

  1. Enter search criteria into the Search field.
  2. Double-click on the course in the grid of search results to enter the Course ID in the Course ID field and click OK.
