Update All ILLiad Components to the Current Version

Unless your institution goes live almost immediately after installing the ILLiad software, it is possible that new versions of the various components that make up the ILLiad system may have been updated in the interim. To be sure, run the ILLiad Server Automatic Updater and download any new updates that exist and install any that are applicable to your institution.

Test All ILLiad Functions

Testing the ILLiad system will perform all ILLiad functions as if you were really processing the requests. Wherever necessary, we have included information to help you perform the system tests and still process your ILL requests within your current process.

Web Interface

  • Log in as a new user via the web pages. The URL is usually http://yourservername/illiad/logon.html on a new install.
  • Once you are successfully entered as a new user, back out of the ILLiad web pages and log on directly via your new ILLiad User ID and password.
  • Enter requests of various types from the Web page. Verify that they are accepted.
  • View/Modify your requests. Make some changes to requests and resubmit them. Cancel some requests and make sure they actually are cancelled.
  • View/Resubmit cancelled requests. Verify that they are indeed resubmitted.
  • Change your user information and resubmit it to the server. Verify that the changes made show up the next time you log in.
  • Change your ILLiad password. Verify that it was changed by backing out and logging back into the system.

User Manager

  • Enter the User IDs for anyone you wish to allow access to the ILLiad Client into the User Manager. To start, it is probably best to give everyone Administrator status.

This Administrator status is ONLY for the ILLiad Client. It does NOT make anyone an Administrator to the server. It simply allows them to use all functions of the ILLiad Client without restriction. This is especially useful between Installation and Going Live, when everyone is trying to become familiar with the system. This access may be limited later.

  • The User Manager will automatically assign a default password to each new User ID of "ill". This may be changed later by the individual user from the client.

ILLiad Client: Borrowing

  • Clear New Customers. Clear someone. Verify that the welcome E-mail is sent successfully. Disavow someone. Verify that the disavow E-mail is sent.
  • Process Copyright. Sort the items on the Process Copyright Screen. Autoselect the No Problem requests and test the No Problem Button. Route something to Document Provider Processing. Enter payment information for a request.
  • Take some of the requests you entered through the normal ILL Borrowing process using the ILLiad Client.
  • Search and send them on OCLC or Docline (whichever is most appropriate to your institution) and import the system information back into the ILLiad Client.

Be sure to cancel any requests made on OCLC or Docline that you do not actually want to receive from lending institutions. They are probably not aware that you are testing a new system.

  • Cancel a request and view the associated E-mail. Verify that the E-mail is sent to the requesting user.
  • Route a request to a special queue. Verify that it was routed successfully.
  • Check in some requests from a lending library. (Use the ones you "sent" earlier.)
  • Test your printing functions. Print Loan/Article Labels and/or slips.
  • Contact Customers. Test the automatic E-mail function. Test the phone notifications by double-clicking on a "notified" request to tell the system that you have contacted the customer.
  • Check items out to the customer.
  • Test the overdue process. Verify that the overdue E-mails are sent.

To do this you will have to make a checked out item overdue. Do this by going to the Edit Request screen and searching for items that are currently checked out. Select one and double click on it. Change the due date to something in the past and save changes. The item is now overdue.

  • Check items in from the customer.
  • Test your printing functions. Move records to the print queue and print Return Slips and/or Return Address Labels. Empty the records from the print queue.
  • Change your ILLiad Client password. Verify the change by getting out and logging back in.

ILLiad Client: Document Delivery

  • Test your printing functions. Print Document Delivery Pull Slips and/or Shipping labels.

All other functions of Document Delivery are covered in either Borrowing or Lending.

ILLiad Client: Lending

  • Import requests from OCLC or Docline (whichever is most appropriate to your institution).

The import process is different for different systems. For OCLC, be sure that you print a backup copy of the requests so that you can process them as normal while you use the records downloaded into ILLiad for testing the system. While the ILLiad Connection Manager will perform the OCLC downloading and importing functions for you once you go live, it is still possible to import OCLC test requests using an OCLC Microenhancer download written to the c:\illiad\lending.in file and importing that file into ILLiad from the PreProcessing Menu of the ILLiad Client. For Docline, these records may be copied and downloaded repeatedly with no loss of data, as long as you have a hard copy or otherwise before acknowledging the download in Docline.

  • Take some of the requests you entered through the normal ILL Borrowing process using the ILLiad Client.
  • Search them on your OPAC. See if your OPAC Search Macros work (if applicable) and import the call number/location information back into the ILLiad Client.
  • Test your printing functions. Print the Loan Labels and/or Article Slips for stacks searching.
  • Enter your stacks search results.
  • Test your printing functions. Print the Article and/or Loan Shipping Labels.
  • Check returned items in from the Returning library.

Customize the Web Interface

  • Customize the look and feel of your web pages by changing the colors and format of the pages.
  • Decide which request types you wish to keep and which you would like removed.
  • Details regarding how to customize the web interface may be found in the chapter of this Guide entitled Verifying ILLiad DLL Version.
  • Change the generic phone number (555-1212) listed on the FAQ.html and ElectronicDeliveryInformation.html pages to the appropriate phone number for your institution.

Setting up Custom Queues

  • Determine what needs (if any) your institution might have for any custom queues. Decide what custom queues you will need and what you wish them to do for you.
  • Details regarding how to add custom queues may be found in the chapter of this Guide entitled Configuring Routing Rules.

Setting up Custom E-mailing

  • Determine what needs (if any) your institution might have for any custom E-mail templates. Decide what custom E-mails you will need and for what purpose you wish to use them.

Set Your Copyright Clearance Center Username and Password Keys

If you have not already done so, be sure to set your values for the following keys:

  • CCCUsername
  • CCCPassword

These are both found in the Customization Manager under Borrowing | Copyright. You should enter your institution's username and password for accessing the Copyright Clearance Center database. This will be the same as the username and password used to access the Copyright Clearance Center web pages.

If you do not have values specified for these keys in your system, you will not be able to submit copyright orders to the Copyright Clearance Center from the ILLiad Client for payment of copyright royalty fees. No other ILLiad functions will be affected.
