Create Templates: Initial Set-Up

Turning the pre-population settings on

  1. Make sure you are in the applicable repository and you have appropriate permissions
  2. Click on the gear wheel next to the repository name, and select ‘User Preference Defaults' 
  3. Under General Settings, click in the box next to ‘Pre-populate Records?’ so that the box is checked 
  4. Click on the ‘Save’ button. You will see a confirmation message
  5. These user preferences will apply to all users (unless a user decides to change his/her own settings)

Creating a template for a resource record

  1. Make sure you are in the applicable repository and you have appropriate permissions
  2. Click on the ‘Browse’ link and select ‘Resources
  3. Click on the ‘Edit Default Values’ drop-down and select ‘Resource
  4. Make the desired template entries. You do not have to fill in any fields that have red asterisks when working in a template
  5. Click on the ‘Save Resource’ button to save your template
  6. You will see a “Defaults updated” confirmation message

Create New Resource Record

  1. Make sure you are in the applicable repository and you have appropriate permissions
  2. Click on the ‘Create’ link and select ‘Resource
  3. Your defaults should be filled in  

    • You will have to create a separate rapid entry template if you want to use rapid entry for creating resource records
    • If you don’t want to use the template for a resource record, you will have to uncheck the ‘Pre-populate Records?’ box in the user settings

Create Standard Note Order

  1. Make sure you are in the applicable repository and you have appropriate permissions
  2. Click on the gear wheel next to the repository name, and select ‘User Preference Defaults’ 
  3. Scroll down to the ‘Note Order’ section, and drag and drop the note types into the desired order
  4. Click on the ‘Save’ button. You will see a confirmation message

Apply Standard Note Order

  1. In a resource record, navigate to the Notes sub-record, and add desired notes
  2. Click on the ‘Apply Standard Note Order’ button. The notes will auto-arrange to your specifications
  3. Click on the ‘Save Resource’ button to save your changes
