Within the Local Library
If the search was successful and, according to the OPAC, the item is available in your building and is potentially lendable (not a Reference book or anything else that violates your local lending practices), you will need to import call number and location information from your OPAC into ILLiad.
In a Branch Location
If the search was successful and, according to the OPAC, the item is available in a branch library or storage facility, and is potentially lendable (not a Reference book or anything else that violates your local lending practices), you will need to have the item pulled from the shelves at the branch library and delivered to your location.
There are a number of ways to accomplish this. Some examples follow:
- Telephone. Call someone at the branch and ask them to send the item to your building.
- Sending Someone to the Branch. Send one of your staff or students over to the other location to pull any items that are needed.
- Routing to a Branch Status. This option would be used if the staff users in the branch library have access to the ILLiad Client and you have set up specific statuses for each branch. For example, If you set up a status of Awaiting Science Branch Pull or something similar, the staff at the Science branch library would know to pull these items and send them to the ILL office.
- Email/Email Routing. This option would be used if you have set up specific custom Email options for each branch. The custom Email would be sent to a specified Email address accessed by the staff of a specific branch library, who would know to pull these items and send them to the ILL office. This option could be set up to automatically route the request to another status, such as Awaiting Science Branch Pull, upon sending the Email if you wish.
If More Information is Needed/Other
Routing the Request
Once Routing options are set up, you can route the request to another queue for later (or different) processing using the Route icon at the top of the Lending Request ribbon. Select the queue to which you would like to route the request. The request will now be at the status to which you routed it. ILLiad will confirm your choice (unless you have turned this option off) and close the request screen, allowing you to work on the next request in the current queue. You can set up as many different queues as you would like using the Customization Manager. Routed items will not get labels or coversheets until they return to the ILL office from the branches.
Email and Email Routing
Once Custom Email/Email Routing options are set up, this will send a customizable email notification to someone. This could be an email to a remote location or branch library requesting that the desired item be pulled and sent to you for processing. It could also be an email to someone requesting more information about something. Select the Send E-Mail ribbon icon and click on the Email Routing option you would like to use.
The Email template assigned to this Email option will appear. Add any additional information you wish by typing in the Email Editing form. When you are satisfied with the message being sent, click on the Send icon. The Email will be sent to the Email address associated with the Email option chosen. Click the Change Status on Send toggle icon to route the transaction to the status assigned to this Email Routing option. You will be returned to the Requests list to search the next item. You can add or remove Custom Email and Routing options using the Customization Manager. Routed items will not get labels or coversheets until they return to the ILL office from the branches.
