Related Accessions

When an accession record relates to another accession record, then the second record becomes its sub-part or sibling record.

Opening an Accession Record in Edit Mode

Option 1

  1. Login to the Admin account
  2. Click Select Repository and choose the one that contains the Accession Record to be worked on.
  3. Click the Search All Records search box.
  4. Type in the term(s) for the Accession Record to be worked on.
  5. Limit by Accession.
  6. Find the record in the search results and click Edit.

Option 2

  1. Click Select Repository and choose the one that contains the Accession Record to be worked on. Click Browse and select Accessions from the drop-down menu.
  2. Click the Filter by text search box on the left of the screen and type in the term(s) for the Accession Record(s) to be worked on.
  3. Click Edit to the right of the chosen Accession Record. The Accession Record will then open.

Adding a Sub-Accessions (Part of or Sibling Relationship)

Once you are in edit mode on the appropriate accession, you will be able to add a related record.

  1. On the left is a menu of quick links for navigation throughout the record. Click Related Accessions to be taken to this area of the Accession Record.
  2. Click Add Related Accession to the right of the Related Accessions section.
  3. There are two ways to add a new Related Accession:
    1. "Part of" Relationship
    2. "Sibling" Relationship
    Once an option is chosen, other fields will open up.
  4. In both the part of and the sibling choices there are three fields, all required:
    1. This Accession
    2. Accession
    3. Relator Type- Matches This Accession Drop Down
    Two of the three fields have a different drop-down options when Relationship type is chosen (This Accession and Relator Type):
    1. When "Part of" is chosen:
      1. This Accession has the options of:
      2. Forms Part of (the related Accession record)- Good for making separate records of accruals.
      3. Has Part (of the related Accession record)- Relator Type is populated by "Part" relationship.
    2. When "Sibling Relationship" is chosen:
      1. This Accession is populated by Is Sibling of.
      2. Relator Type is populated by "Bound With" relationship.
  5. The following fields are the same for both Part of and Sibling Relationship:
    1. The Accession field can be filled in in two ways:
      1. Begin typing in the Resource box, and options will automatically populate.
      2. Click the down arrow to the right of the box, and the Browse option will appear. This location will allow you to filter the results. When the record is selected, click Link to Accessions.
    2. *Optional* plus (+) sign at the bottom of each section- Adds another sibling relationship or related accession.
      1. X in the upper right of each section will open a prompt asking to confirm removal of that form.
