Sending Requests with a PMID/UniqueID

Requests can be searched and sent on DOCLINE from the Request Form for the transaction.

  1. Open the Docline tab on the Request Form. From that tab, you can choose to search and send using the criteria from the ILLiad request (usually the PMID) on the Discovery ribbon.
  2. Clicking the bottom half of the Search button brings up a menu of options. Click Search to search DOCLINE for the PMID. ILLiad will connect to DOCLINE using the username and password in your customization settings.
  3. If that result looks correct, you can then choose to Fill the request form out or Fill and Send at once, by clicking the Search and Send Selected icon on the Discovery ribbon.
  4. Once the request has been placed, either manually or through the menu options, the ILL number and the first lending library symbol are imported into the ILLiad request details along with the citation information.
  5. From ILLiad's Docline Menu (on the Criteria section of the Discovery ribbon) choose Search. This will search Docline for the specified UI number and display the results of the search in DOCLINE. Click the Next button to proceed. This will take you to a screen containing Routing Instructions.

Sending Requests after Finding the Request in PubMed

  1. Double-click on Awaiting Request Processing to get the list of requests. Pick a request and open it by double-clicking on it.
  2. When the request opens, click on the Pubmed/Docline tab. This tab allows you to search pubmed for the article and/or search and send the request on Docline.
  3. If the request you opened doesn't have a unique ID, you'll need to search and find it on Pubmed. You can search by title or keyword but the most success is usually with searching a combination of author, pagination and publication date.
    • In most cases you will get a single result.
    • There are two options for now searching and sending on Docline:
      • You can choose Search and Send which will use the Pubmed Unique ID from the request (which in our example is not provided) or you can use Search and Send Selected which will choose the highlighted results from searching Pubmed.
      • Note that Search and Send Selected will be greyed out if there are no results from searching Pubmed.
  4. If you click the bottom half of the Search and Send button, it gives you the option of doing several intermediate steps.
  5. First you can choose just to search for that item on Docline and get results.
  6. The next step you can choose is Fill which will select that request and fill it out with all the default values but allow you to browse around and edit before sending.
    • If you know that the defaults for filling out the requests will be fine, you can choose Fill and Send after searching instead.
    • Or if you know that everything is fine and you just want to send it out, you can choose Search and Send which will Search, fill out the form and send it.
  7. However you send the request, as soon as you get to the results page saying the request has been sent, it will import the ILL Number and the first symbol it's been routed to into the ILLiad request.
  8. Once the request has been sent on Docline, you can flip back to the Detail form, verify you have an ILLNumber and symbol in the lending string and then click Request Sent.

Sending Requests after finding the item on LocatorPlus

Requests can be searched and sent on DOCLINE from the Request Form for the transaction.

  1. Open the Docline tab on the Request Form. If you do not already have DOCLINE open on that form, choose Open Docline from the Discovery ribbon.
  2. Navigate to the search form in the DOCLINE web and manually paste in the ISSN or OCLC Number you wish to search at the bottom of that form.
  3. If the result looks correct, you can then choose to Fill the request form out or Fill and Send at once by click the Search and Send icon. Note that the Fill menu option will also fill out citation information from the ILLiad request for you.
  4. Once the request has been placed, either manually or through the menu options, the ILL number and the first lending library symbol are imported into the ILLiad request details as well as the citation information.

Transferring Loansome Doc Requests

  1. Open the Docline tab on the Request Form. Choose Transfer Loansome Doc from the Discovery ribbon to navigate to the LoansomeDoc section of DOCLINE and search by that ILL number.
  2. Choose delivery to the patron or to the library and click the link for the resulting item. Click Next.
  3. Once you click Next, the request will be populated with ILLiad information and sent. Once sent, the lending library is updated on the ILLiad request.
